Security Deposit and Damage Policy
Effective Date: Oct 1, 2025
This policy explains how security deposits, item inspections, damage claims, cleaning charges, missing items, and related deductions are handled.
1. Deposit Requirement
A listing may require a security deposit. The deposit amount may vary by listing, item category, delivery requirements, or operational risk. Deposits are generally separate from booking charges.
2. Purpose of Deposit
A deposit may be used to cover loss, theft, breakage, damage, excessive wear, missing parts, missing accessories, unauthorized use, cleaning costs, extra labour, late return costs, delivery-related loss, or any other cost reasonably caused by the guest or renter.
3. Item Condition
Hosts and guests should inspect the item at pickup, delivery, and return. Photos, videos, serial numbers, accessory lists, odometer or hour-meter records, and written condition notes may be used as evidence.
4. Damage Reporting
Pre-existing issues should be reported immediately. If a guest accepts the item without reporting obvious issues, the item may be treated as accepted in good condition except for properly documented pre-existing damage.
5. Deposit Review Period
MY-IVVI Inc. may hold or review a deposit for up to 14 days after return to allow for inspection, missing item checks, damage confirmation, cleaning review, and claim handling.
6. Deductions
Deductions may include repair costs, replacement costs, labour, cleaning, admin charges, missing accessory value, disposal costs, inspection costs, transport costs caused by damage, late fees, fuel imbalance if applicable, and other reasonable losses caused by the booking.
7. Major Loss
Where loss or damage exceeds the deposit amount, the guest remains responsible for the full amount of the loss, subject to applicable law and platform review.
8. Guest Responsibility
Unless otherwise expressly stated in writing, guests are fully responsible for loss or damage occurring during the rental period, including damage caused by negligence, misuse, unauthorized operator use, overloading, unsafe transport, improper storage, weather exposure, theft due to poor security, or failure to follow instructions.
9. Disputes
Deposit disputes are reviewed under the Dispute Resolution Policy. MY-IVVI Inc. may review photos, messages, timestamps, invoices, operator notes, and listing terms.
